Spend More Time On Business With Simple Organization Strategies

The world consists of two types.  First you have those who were born with the organization gene; second are those who were not.  Do you fall in the second group?  It’s okay!  There are ways to stay organized in your small business. 

The benefits are many.  A person who can organized their business will find the work gets done in much less time.  They forget important events less.  They are more relaxed and feel in control of their day.  This article will give you some realistic techniques to stay organized even if you feel you are a hopeless cause:

Don’t Leave a Messy Workplace at Night

Never leave your workspace at night until you have taken a few minutes to clean up your desk.  Gather  your pens, stapler, and other tools together so you can find them in the morning.  Throw out the trash and get rid of any used cups or other things that don’t belong. 

A key component to this step is to “organize” your paperwork generally into the order you want to handle it in the morning.  At the same time, you can quickly prepare an action plan (also known as “to-do list”) for the next day, and rank each task in order of importance. 

By taking 5-10 minutes to complete these simple tasks each evening, you will find renewed motivation in the morning to tackle the day ahead. 

Group Your Working Product in 3s

There are those who have a file folder for everything and know immediately where anything is.  The rest of us make up the bigger population.  One trick I have found helpful in organizing work papers so I can actually find them is to group them according to the rule of 3. 

It is a simple concept.  Maintain only three stacks of paperwork at any one time.  Stack number 1 contains your most pressing things – those you want to accomplish today.  Stack number 2 will hold those items you want to get to this week, and the final stack will be those less critical things you can get to within the month.  This can be a painful upfront process, but by taking the time to create these three stacks, you will save time in the long run from digging through piles when you are in a hurry and need some critical paper fast. 

Just Do It

The reality is that each day you avoid creating an organization system that you can live with you miss opportunities for your small business.  When you are organized, a bigger part of your day can be spent on the success of your business.  But remember, one size does not fit all and what works for one would drive someone else crazy.  So take the time to find what works for you so that you can commit to it every day.

Probably the most critical part of Internet marketing for your business is organizing your website so it will achieve your overall goals.  But this critical step is usually the one business people skip, or just leave it to their web designer to consider, which can be even more damaging to their overall goals. 

The process of carefully planning the outline of a new website or upgrade to an existing website will secure for you not only a vehicle to show off your business in the best light, but also one that you are able to control the process of updating content, and, most importantly, achieve your business goals.  Here are a number of important steps to take in the website planning process:

1.  Write down on a piece of paper everything you think the visitors to your web site might want to know about your product or service.  If you are planning a website for a school, for example, the visitors would be interested in how man students attend, classroom sizes, staff information and sports offered.  Try to list every possible topic about your industry, service or product that a visitor to your new website might be interested in knowing.

2.  Put yourself into the visitor’s shoes.  Surf the Internet and visit various sites offering similar services, then review them as a potential customer would.  As a visitor who is genuinely interested in your product or service, what are the good things and bad things about each site you visit?  Are you inspired to take action from the website?  How easily can you find what you are looking for? How many times do you have to click to find what you are looking for?  Take notes on all this information with the purpose of making your own website as visitor friendly as possible.

3.  Investigate to find out the keywords your visitors will most likely search for to find your website. You don’t need to invest in expensive search tools, Google has a free keyword tool that is adequate for this purpose.  Type in a general phrase such as “high school” and see what other keywords come up.  These are the topics that people are searching for already.  With this information in hand, you can plan your website to feature content that answers people’s questions. 

4.  When planning your new website, make sure to keep in room to grow.  Stay away from website formats that can’t be expanded easily to add products and new pages.  A website is not static, but rather should change constantly to meet your customer needs. 

5.  Finally, make sure your website is easy to control, so you don’t have to rely on your website designer to make even the smallest changes.   Old fashioned websites that only a web developer can change do not work in today’s dynamic Internet marketing environment that demands new content added regularly.  It is to your advantage to plan a website platform that will allow you to add content quickly and simply.

Simple Organization Strategies Help You Stay Focused On Your Business

There are two types of people in the world.  First, there are those who have been organized since the day they were born…then there are those who have not.  Do you feel you are in the second category?  It’s okay!  You can still keep your small business organized. 

The advantages are great.  A person who can organized their business will find the work gets done in much less time.  The remember key meetings and events more often.  They feel less stressed and out of control.  Below are some functional tips to keep your business organized for those of us that are organizationally challenged:

Don’t Leave a Messy Workplace at Night

Never leave your workspace at night until you have taken a few minutes to clean up your desk.  Put office supplies such as stapler and pens in a central location so you are ready to go in the morning.  Look for anything that doesn’t belong and move it, such as used coffee cups or an overflowing trash can. 

Most important, quickly go through the papers cluttering up the desk and stack them somewhat in the order they need to be tackled in the morning.  At the same time, you can quickly prepare an action plan (also known as “to-do list”) for the next day, and rank each task in order of importance. 

You will find that this simple 10 minute process each evening will fire you up to jump in feet first the next day to complete what needs to be done. 

Organize Work Product Using the Rule of 3

There will always be those people who know right where everything they need is at any time.  The rest of us make up the bigger population.  The rule of 3 is a helpful technique that has worked for me in finding work betters when I need them. 

The idea is not tricky.  Maintain only three stacks of paperwork at any one time.  The first stack contains the most pressing items you hope to accomplish within the day.  Next, are those items to accomplish sometime during the week, and the final stack contains those less pressing items to get to within the month.  You may need to dedicate some time up front to get these three stacks organized, but the time will be ultimately saved as you are able to find needed paperwork much more quickly without digging through everything on your desk. 

Don’t Wait

Ultimately, the longer you wait to find an organization system that works for you and your small business, the more opportunities you miss for your small business.  A larger part of your day can be spent on making your small business succeed when you are organized.  And keep in mind, what works for one person is a disaster for another.  So find a system you can call your own and stick with it.
