Spend More Time On Business With Simple Organization Strategies

The world consists of two types.  First you have those who were born with the organization gene; second are those who were not.  Do you fall in the second group?  It’s okay!  There are ways to stay organized in your small business. 

The benefits are many.  A person who can organized their business will find the work gets done in much less time.  They forget important events less.  They are more relaxed and feel in control of their day.  This article will give you some realistic techniques to stay organized even if you feel you are a hopeless cause:

Don’t Leave a Messy Workplace at Night

Never leave your workspace at night until you have taken a few minutes to clean up your desk.  Gather  your pens, stapler, and other tools together so you can find them in the morning.  Throw out the trash and get rid of any used cups or other things that don’t belong. 

A key component to this step is to “organize” your paperwork generally into the order you want to handle it in the morning.  At the same time, you can quickly prepare an action plan (also known as “to-do list”) for the next day, and rank each task in order of importance. 

By taking 5-10 minutes to complete these simple tasks each evening, you will find renewed motivation in the morning to tackle the day ahead. 

Group Your Working Product in 3s

There are those who have a file folder for everything and know immediately where anything is.  The rest of us make up the bigger population.  One trick I have found helpful in organizing work papers so I can actually find them is to group them according to the rule of 3. 

It is a simple concept.  Maintain only three stacks of paperwork at any one time.  Stack number 1 contains your most pressing things – those you want to accomplish today.  Stack number 2 will hold those items you want to get to this week, and the final stack will be those less critical things you can get to within the month.  This can be a painful upfront process, but by taking the time to create these three stacks, you will save time in the long run from digging through piles when you are in a hurry and need some critical paper fast. 

Just Do It

The reality is that each day you avoid creating an organization system that you can live with you miss opportunities for your small business.  When you are organized, a bigger part of your day can be spent on the success of your business.  But remember, one size does not fit all and what works for one would drive someone else crazy.  So take the time to find what works for you so that you can commit to it every day.

Make the Most of Your Website With Advance Planning

Probably the most critical part of Internet marketing for your business is organizing your website so it will achieve your overall goals.  But this critical step is usually the one business people skip, or just leave it to their web designer to consider, which can be even more damaging to their overall goals. 

The process of carefully planning the outline of a new website or upgrade to an existing website will secure for you not only a vehicle to show off your business in the best light, but also one that you are able to control the process of updating content, and, most importantly, achieve your business goals.  Here are a number of important steps to take in the website planning process:

1.  Write down on a piece of paper everything you think the visitors to your web site might want to know about your product or service.  If you are planning a website for a school, for example, the visitors would be interested in how man students attend, classroom sizes, staff information and sports offered.  Try to list every possible topic about your industry, service or product that a visitor to your new website might be interested in knowing.

2.  Put yourself into the visitor’s shoes.  Surf the Internet and visit various sites offering similar services, then review them as a potential customer would.  As a visitor who is genuinely interested in your product or service, what are the good things and bad things about each site you visit?  Are you inspired to take action from the website?  How easily can you find what you are looking for? How many times do you have to click to find what you are looking for?  Take notes on all this information with the purpose of making your own website as visitor friendly as possible.

3.  Investigate to find out the keywords your visitors will most likely search for to find your website. You don’t need to invest in expensive search tools, Google has a free keyword tool that is adequate for this purpose.  Type in a general phrase such as “high school” and see what other keywords come up.  These are the topics that people are searching for already.  With this information in hand, you can plan your website to feature content that answers people’s questions. 

4.  When planning your new website, make sure to keep in room to grow.  Stay away from website formats that can’t be expanded easily to add products and new pages.  A website is not static, but rather should change constantly to meet your customer needs. 

5.  Finally, make sure your website is easy to control, so you don’t have to rely on your website designer to make even the smallest changes.   Old fashioned websites that only a web developer can change do not work in today’s dynamic Internet marketing environment that demands new content added regularly.  It is to your advantage to plan a website platform that will allow you to add content quickly and simply.

7 Levels of Internet Marketers

True financial success only comes to those that master this concept. So ask yourself, “Do you know what kind of Internet marketer you are”? Have your marketing experiences on the Net been positive, negative or mixed? As you read through the seven levels of marketers provided below, I want you to know that at various times in my life, I have been at almost every single one of them. It was only as my knowledge and experience increased that I was able to upgrade to the level I am at today. At some point while reading the descriptions of each level, you will probably recognize where you are or where other people are you know. I recommend while reading you write down where you currently are as you discover your level, to help improve your awareness of your current strategy. This will also help you realize where you need to go. Here are the seven levels of Internet marketers.

Level 1 – The Mooches.The “Mooches” are people at the very bottom level of marketing. They’re clueless and sit around wasting their time. Most are completely ignorant of the moneymaking opportunities available on the Web. These people spend their time whining about their financial status without taking the time to evaluate what they need to do to get ahead. Most Mooches don’t have a clue about Internet marketing. If you ask them what the Internet is for, they’ll say, “to chat” or “to e-mail friends” or even better, “to watch porn”. You know, something useless. Lever 2 – The Wanna-Be.The “Wanna-Be” has ambition, but not enough. They wander around in the dark looking under stones for a magic treasure box. They want to make money, but don’t have a clue how. They get sucked into ridiculous scams and waste their money on garbage ideas that won’t get them anywhere. They need to get smart quick about where they need to go to turn their life around. Most Wanna-Be marketers have heard of the Internet and know people who make money on the Net, so they are easily excited about opportunities. Unfortunately they spend most of their money on MLM and other moneymaking scams rather than chasing real opportunities. Lever 3 – The Pretend To Be.The “Pretend To Be” is living a lie.

Got 20 Minutes? Create 20 Killer Benefits Statements Copywriting For The Web

For me, the most difficult part of writing ad copy has been to come up with great benefit statements. And benefit statements are critical to selling your readers to try your products, services, and ideas, second only to the headline.

All of the other parts of copywriting such as good headlines, price offers and stories were much easier for me than finding good benefit statements. But creating a benefits list drove me crazy; that is until I learned how to come up with one or more benefits every minute.

You might remember from any basic sales course that people do not care about features nearly as much as they want to know the benefits. Knowing the truth to that, I started to take a closer look at what benefits really are. I discovered they are really just action items in disguise, agreed? You “save” money or “stop” wasting time, for example. So, what do you think about starting out each benefit statement with a verb that takes action? The process goes like this:

1.  Alphabetize a long list of action verbs.

2.  Display the alphabetized list of action verbs on your desk or, even better, view them on your computer screen so that you can see the list in its entirety
.
3.  Begin with the first verb in your list that begins with the letter A and read the verb out loud and make a sentence out of it that describes one benefit of your product.

For example, the first word in my list of verbs is “Accelerate”.

So, I might say that my product helps to “accelerate” fingernail growth.

4.  Write benefits until you can’t think of any more, and don’t think of quitting early! You’ll weed out the benefits later that don’t have as much punch as you thought. Don’t worry about duplicates right now either. Just let your brain consider your product and freely create the benefits as they come to you.

5.  Now is the time that you will prioritize your list from most important to least.

This process has worked for me not only to create great benefits lists, but also for writing articles for my website like “35 Reasons Why a Blog is Better than a Traditional Web Site for Your Business,” or “50 Ways to Kill a Perfectly Good Seminar”.

Use my list of verbs or create your own and start creating your killer benefit statements in just 20 minutes. Most of the time, you won’t need more than a great list of 20 benefits.

In today’s competitive environment, successful small business owners need to stay open to any technique that will help them understand their industry better and form the partnerships that will make a difference to their bottom line.  Cold calling can be an effective strategy to achieving these goals.

Jump Start Internet Marketing Strategies Through P.T.A.

There are very few authors, speakers, or businesses that can be successful without using the Internet as part of their marketing plan.  Despite this, while many people use the Internet for their own personal needs, they are confused how they can actually use it to benefit the sales of their own products or services.

Simple Organization Strategies Help You Stay Focused On Your Business

There are two types of people in the world.  First, there are those who have been organized since the day they were born…then there are those who have not.  Do you feel you are in the second category?  It’s okay!  You can still keep your small business organized. 

The advantages are great.  A person who can organized their business will find the work gets done in much less time.  The remember key meetings and events more often.  They feel less stressed and out of control.  Below are some functional tips to keep your business organized for those of us that are organizationally challenged:

Don’t Leave a Messy Workplace at Night

Never leave your workspace at night until you have taken a few minutes to clean up your desk.  Put office supplies such as stapler and pens in a central location so you are ready to go in the morning.  Look for anything that doesn’t belong and move it, such as used coffee cups or an overflowing trash can. 

Most important, quickly go through the papers cluttering up the desk and stack them somewhat in the order they need to be tackled in the morning.  At the same time, you can quickly prepare an action plan (also known as “to-do list”) for the next day, and rank each task in order of importance. 

You will find that this simple 10 minute process each evening will fire you up to jump in feet first the next day to complete what needs to be done. 

Organize Work Product Using the Rule of 3

There will always be those people who know right where everything they need is at any time.  The rest of us make up the bigger population.  The rule of 3 is a helpful technique that has worked for me in finding work betters when I need them. 

The idea is not tricky.  Maintain only three stacks of paperwork at any one time.  The first stack contains the most pressing items you hope to accomplish within the day.  Next, are those items to accomplish sometime during the week, and the final stack contains those less pressing items to get to within the month.  You may need to dedicate some time up front to get these three stacks organized, but the time will be ultimately saved as you are able to find needed paperwork much more quickly without digging through everything on your desk. 

Don’t Wait

Ultimately, the longer you wait to find an organization system that works for you and your small business, the more opportunities you miss for your small business.  A larger part of your day can be spent on making your small business succeed when you are organized.  And keep in mind, what works for one person is a disaster for another.  So find a system you can call your own and stick with it.
